What we collect
When you purchase or use a Virtlix license, we collect:
- Account information - name, email, and company name if provided.
- Billing information - handled by our payment processor at checkout; we don't store full card numbers ourselves.
- License & server data - the IP address and hostname your license binds to, and check-in timestamps, so we can validate and enforce your license correctly.
- Support communications - anything you send us via the Contact form or email, including your name, email, and message content.
Virtlix itself runs on your own server, not ours. Data belonging to the VPS guests you create - their disks, configuration, and anything your end-users store on them - stays on your hardware. We never have access to it.
How we use it
We use the information above to: issue and validate your license, process payments and renewals, respond to support requests, and send license-related notices (expiry, renewal, service issues). We don't sell your data, and we don't use it for advertising.
Cookies
Our website uses only the minimum cookies needed to keep you logged in to the licensing panel and to protect against cross-site request forgery. We don't use third-party advertising or tracking cookies.
Sharing & sub-processors
We share data only with service providers who help us run the business - our payment processor for billing, and our email delivery provider for transactional email. Each is bound by its own data protection obligations. We don't sell or rent your information to third parties.
Data retention
We keep account and license data for as long as your license is active, plus a reasonable period afterward for tax, accounting, and fraud-prevention purposes. Contact-form messages are retained until resolved and periodically cleared afterward.
Your rights
You can request a copy of the data we hold about you, ask us to correct it, or ask us to delete it, subject to what we're legally required to retain (e.g. billing records). See our GDPR page for the full list of rights available to EU/UK users specifically.
Security
License and account data is stored on infrastructure we control directly, with access limited to the people who need it to operate the service. No system is perfectly secure, but we take reasonable, industry-standard precautions.
Children's privacy
Virtlix is a business/technical product and isn't directed at children. We don't knowingly collect data from anyone under 16.
Changes to this policy
We'll update the "Last updated" date above if this policy changes materially, and where appropriate, notify active license holders by email.
